What is EVISYS? {#what-is-evisys}

EVISYS is a Rental Management System (RMS) for the events industry. It covers the full cycle: create orders and move them through the sales pipeline, book equipment, manage logistics (packing, delivery, return), inventory and workshop, customers and crew — all within one tenant (your company).

The central business object is an order, not a “project”. Each order can include an event, customers, venues, time windows, and booked material.

Sign-in and tenant URL {#sign-in-and-tenant-url}

You reach your company via the tenant address, e.g. https://your-company.lvh.me (in production, the subdomain assigned to you). Bookmark it — it saves time on the road.

After sign-in you land on the Dashboard (/app). Sign-in details: Sign-in & Account.

The core workflow in six steps {#the-core-workflow-in-six-steps}

  1. Create an order — status starts as Inquiry
  2. Book equipment — add material to the order (check availability)
  3. Confirm the order and set logistics to To pack if needed
  4. Pack — work through the packing list, scan if needed
  5. Delivery and later return
  6. Close out, invoice, status Invoiced

In parallel you can assign crew and generate documents (quote, packing list, …).

Not everyone sees every menu item — the tenant admin controls this under Organization → Users.

Initial setup (admin) {#initial-setup-admin}

If you are an administrator, set up the following before day-to-day work:

  1. Organization → Master data — company, logo, PDF footers
  2. Organization → Users — invite the team, assign roles
  3. Inventory — create or import items and equipment
  4. Optional: two-factor authentication in account settings if the tenant requires 2FA

On the dashboard, new users see the First steps in your tenant box — a short overview with a link to this manual.

Glossary {#glossary}

Term Meaning
Order Central business object for an event / job
OLE Order-Line-Equipment — assignment of a specific unit or quantity to an order line
Bulk item Item without serial number; stock tracked as a quantity
Single unit / tracked Equipment with a unique ID (e.g. EQ-…)
Case Fixed case with predefined contents (bill of materials)
Flexcase Variable case; contents assembled per order
Booking set Template for quickly booking common item combinations
Rental request Request to a partner tenant for third-party material
Crossload Handover of equipment between orders / tenants
Tenant Your company as an isolated organization in EVISYS
