Booking Equipment & Availability

Purpose {#purpose}

In the material shop you book inventory onto orders — with real-time availability checks for the rental period.

Navigation: Order → Logistics tab → Book inventory / Book equipment/app/orders/:id/logistics/shop

Permissions: logistics.shop, orders.read

Open the material shop {#open-the-material-shop}

  1. Open the order.
  2. Logistics tab → Book inventory or Book equipment directly.
  3. The shop shows searchable items with availability status.

Prerequisite: The order has a valid rental time window (Rental segment). Without a time window there is no availability check.

Search and filters {#search-and-filters}

  • Search by item name, number, or barcode
  • Filter: all / Single unit / Bulk
  • View: cards or list

Inventory sources {#inventory-sources}

Source Description
Own Your own warehouse
Partner Linked partner tenant — creates a rental request
External inventory (manual) External rental without EVISYS coupling

Single units (tracked) {#single-units-tracked}

Status pills show the state of each unit:

Status Bookable?
In warehouse Yes
On job (planned) No — another order in the period
On job No — with the customer
Maintenance No — workshop/inspection
Defective No
Already booked No — already on this order

Only available units are bookable. Click a unit and confirm the booking.

Bulk items {#bulk-items}

Bulk items have no serial-number tracking. In the booking dialog you see “X available” for the rental period.

Message Meaning
Not enough stock for this period Requested quantity not available
Only N unit(s) available Partial booking possible

Enter quantity and click Book.

Manage booked lines {#manage-booked-lines}

Booked rows appear under Booked lines on the Logistics tab.

Action When
Remove line Delete entire bulk row
Remove assignment Unassign single unit

For already packed units, correct first in packing or return.

Flexcases {#flexcases}

Flexcases are variable cases. You can:

  1. Assign them to the order
  2. Use them as a pack target when packing
  3. Fill them with custom contents

Booking sets {#booking-sets}

Booking sets are templates with predefined item quantities — e.g. “Standard PA small”.

Navigation: /app/inventory/booking-sets

  1. Create a booking set with items and quantities.
  2. Apply the set in the material shop or on the order — all lines are booked at once.

Permission: inventory.manage

Availability and bottlenecks {#availability-and-bottlenecks}

EVISYS does not use the term shortfall. Instead:

  • Before booking: The shop warns with Not enough stock or shows reduced availability.
  • After the event: Report missing parts on return → status Clarification · missing parts.

Tip: Book early in Inquiry/Quote status to spot bottlenecks before confirmation.

Availability calendar {#availability-calendar}

At /app/inventory/calendar you see utilization per item/equipment over time — helpful for dispatch. See availability-calendar.

Pack deviations {#pack-deviations}

When less was packed than booked, the system can record pack deviations. These are visible on the order under Logistics and traceable in the audit log.

Common issues {#common-issues}

Empty shop / no availability Check rental time window on the order
Unit not bookable Check status and other order in calendar
Partner material Rental request status under Partners & Rental Requests
